Privacy Policy

ServerBuilds (“we”, “us”, “our”) builds custom enterprise servers for customers in the United Kingdom, the European Union, the United Arab Emirates, and other regions. This policy explains what personal data we collect, why we collect it, and the rights you have over that data.

Depending on where you contract with us, the data controller is either our UK entity (Company Registration No. 08828896) or our German entity (Charlottenburg, HRB 275591 B). For questions about this policy contact us via the contact page.

1. Data we collect

• Enquiry data: name, business email, phone number, company, and any details you include when you contact us or request a quote.
• Order & account data: billing and delivery address, VAT/tax identifiers, purchase order references, and configuration history when you place an order.
• Usage data: pages viewed, configurator interactions, device and browser information, and approximate location derived from IP — used in aggregate to improve the site.

2. How we use it

• To respond to enquiries and prepare quotes.
• To fulfil orders, ship hardware, and meet our legal accounting and warranty obligations.
• To send service communications about your orders and — where you have opted in — relevant product updates.
• To analyse site usage in aggregate so we can improve the configurator and supporting content.

3. Lawful bases (UK / EU GDPR)

We process personal data on the following bases: performance of a contract (orders, quotes), legitimate interests (responding to enquiries, securing the site, improving our products), consent (non-essential cookies, marketing email), and legal obligation (tax, accounting, export-control records).

4. Sharing your data

We share personal data only with service providers acting on our instructions — including email delivery (Resend), product analytics (Google Analytics, Hotjar), payment and accounting partners, and logistics providers used to ship hardware. We do not sell personal data.

Some providers are located outside the UK / EEA. Where that is the case we rely on the UK International Data Transfer Addendum or EU Standard Contractual Clauses to protect your data.

5. Retention

Enquiry data is retained for up to 24 months from last contact. Order, accounting, and warranty records are retained for the periods required by UK and German tax law (currently up to 10 years). Analytics data is retained per the provider’s default (Google Analytics: 14 months; Hotjar: 12 months).

6. Your rights

You have the right to access, correct, delete, restrict, or port the personal data we hold about you, and to object to processing based on legitimate interests. You can also withdraw consent for marketing or non-essential cookies at any time. To exercise these rights, contact us using the details below.

You also have the right to complain to your local supervisory authority — the ICO in the UK (ico.org.uk) or the Berlin Beauftragte für Datenschutz und Informationsfreiheit in Germany.
